Privacy Notice

How we handle your personal data

This notice explains how Job Search Bot Service, a trading name operating in Singapore ("we", "us"), collects, uses and discloses your personal data, in line with Singapore's Personal Data Protection Act 2012 (PDPA).

1. Our Data Protection Officer

2. What we collect

  • From the sign-up form: your full name and email address; the job titles and location you want; your minimum monthly salary; the plan you chose; your résumé (PDF); the monthly salary you want stated on applications; your work authorisation status; and whether you are willing to relocate or work onsite.
  • Made for you: a profile built from your résumé (a summary, your achievements, years of experience and education level); the jobs we find and their scores; and the cover letters and other documents we write for you.
  • From your use of the service: the decisions and notes you enter in your Google Sheet (for example, which roles you mark Apply), and the emails we send you. If you use the browser extension (early access), we also record which jobs you mark as applied or as needing manual work.
  • For billing: your PayNow payment reference and amount, so we can match a payment to your account. We do not collect card numbers or bank login details.

3. Why we use it

  • to set up and run your account, including your free trial and billing;
  • to search job boards for you and score each role against your profile;
  • to email you your digest and, when you mark a role Apply, to prepare a cover letter, a skill-gap analysis, likely interview questions and a tailored résumé, depending on your plan;
  • to share a Google Sheet with you where your results are tracked;
  • to contact you about the service, and to keep it secure and working.

We do not sell your personal data, and we do not use it to advertise other companies' products.

4. Your consent

By submitting the sign-up form you consent to the collection, use and disclosure of your personal data as described in this notice. You can withdraw your consent at any time by emailing our Data Protection Officer. If you do, we can no longer provide the service to you. Withdrawing consent does not affect anything we did before you withdrew it.

5. Who we share it with

We do not send your data to employers or recruiters. You apply to jobs yourself. We do use these service providers, who handle your data on our behalf:

The job-board search services we use receive only your search terms (job titles and location), never who you are. We may also disclose data where the law requires it.

6. Outside Singapore

These providers process data on servers outside Singapore, including in the United States. We use established providers, share only what each one needs, and rely on each provider's own data-protection terms when your data is transferred.

7. How long we keep it

We keep your data while you are a client. If your subscription ends and you do not renew, we delete your profile, résumé and results 60 days after it ends. You can ask us to delete them sooner, at any time, by emailing our Data Protection Officer.

When we delete your data we make a written record that the deletion happened and what it covered. The record holds no personal details, and we will send you a copy if you ask. We keep only these things after deletion:

  • your payment reference, amount and date, for as long as we need them for accounting and to handle any dispute;
  • the deletion record itself;
  • copies that sit in our private development history or in a provider's own backups, which we cannot remove on demand. They are not used and are not shared.

8. Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, or withdraw your consent, by emailing our Data Protection Officer. We may ask you to confirm your identity first. We respond as soon as we reasonably can and aim to do so within 30 days.

9. Keeping it safe

We limit access to your data to the person who runs the service. Your results Sheet is shared only with the email address you gave us, and some of its columns are locked so that only our system can change them. If a data breach is likely to cause you significant harm, we will tell you and the Personal Data Protection Commission, as the law requires.

10. Changes to this notice

If we change this notice, we will update the date at the top of this page.
